In accordance with GDPR compliance, a Lead or Contact may submit a request for all of their data on record to be deleted from your system. Due to how Dynamics manages connections between records as well as the fact that a Lead or Contact may have data stored both within your Dynamics environment and on ClickDimensions' end within the cloud, it is important that you follow the steps listed here in order when attempting to delete data.
If you receive a request from a Lead or Contact to delete their data, you can do so by following this process:
NOTE: This process will require the deletion of a number of different record types. If you do not have the necessary security permissions to delete these records, you will need to reach out to your Dynamics Administrator for assistance.
NOTE: The deletion of records within Dynamics is a native Dynamics process, so this falls outside the scope of ClickDimensions support. We will be able to assist you with deleting data from our end, though.
Delete Associated Records within Dynamics
Deleting a Lead or Contact record in Dynamics does not automatically delete all of the records associated with it. Any records that have a Referential relationship with the Lead/Contact, such as Sent Emails, Form Submissions, and most of the other ClickDimensions entities, will not be deleted but will instead have their association to the Lead/Contact broken. This makes it difficult to identify the records that were associated with the deleted Lead or Contact in order to delete these records as well. As such, these related records should be deleted prior to deleting the Lead or Contact.
Dynamics only allows bulk deletions to be run against one entity at a time, so the simplest way to delete this content would be to open the corresponding Lead or Contact record, then open their Related Records menu, go through each category listed there one by one, and delete the records listed there by selecting all of them and clicking the Delete button.
Reach out to ClickDimensions to Delete Data in the Cloud
Some data for Leads and Contacts, such as their previously submitted Subscription Preferences, is also stored on ClickDimensions end within the cloud. To have this data deleted, submit a deletion request to security@clickdimensions.com with information identifying your Account and the Lead or Contacts’ email address.
Delete the Lead or Contact Record
Once all of the associated data for a Lead or Contact has been deleted, you can delete the Lead or Contact itself by clicking the Delete button on their respective record.
