Choosing your Sending Email Address
When sending emails from ClickDimensions, users can select the From address from a variety of options—the Dynamics users who own the recipient contact/lead records, a single Dynamics user, or a custom name and from address you enter. More personalized emails may need to come from the contact/lead owner for continuity, but other more general messaging (newsletters, announcements, etc.) are fine to send from a general, corporate email address.
SPF Records
To ensure delivery of your emails, we recommend adding/modifying your SPF record to include ClickDimensions as an authorized email sender from your domain. The SPF record is a DNS entry typically maintained by a network admin in your organization.
EXAMPLE—if the email is sent with a From address of joe.smith@companyabc.com, your recipients’ email servers may check your domain’s SPF record to ensure that ClickDimensions is authorized to send email for the companyabc.com domain name.
Our SPF article shows how to include ClickDimensions in your domain’s SPF record.
Considerations
When you edit your SPF record you may find that your organization already has an SPF record which cannot be modified without exceeding the maximum number of include statements allowed by the SPF protocol. Or there may be other reasons that make it administratively difficult to make changes to the DNS entries for the primary domain.
In these cases, you might consider registering and setting up a subdomain that is a variation on your main domain name just for your marketing email, such as email.companyabc.com. This can make it easier for your marketing department to manage the domain name and DNS entries like SPF records, without requiring changes to the organization’s primary domain DNS.
If your marketing users wish to set up a subdomain such as email.companyabc.com and use this in the From address on marketing emails (i.e., marcomm@email.companyabc.com), you should also do the following:
- Ensure that you configure working email addresses for this custom domain, or forwarding rules to route replies to the appropriate individuals within your organization.
- Set up an SPF record for the custom domain that includes ClickDimensions.
- Ensure that users always use From addresses on ClickDimensions emails that use the email addresses from your custom domain.
