SEQUENCE STEPS
This article will explain the types of steps you can place in a sequence.
Note: All steps are created within the sequence builder, you do not need to create them separately.
Auto Email
You will create the content of the email and it will go out without any interaction needed from you.
The email content can be created from scratch here or you can use an email template already created.
You may use personalization within the email so it will automatically enter information like the recipient’s name or company name from the data in your environment. Type an @ symbol to see the options for Contact record or lead fields and type the { symbol to add dynamic content like {{weekdays_from_now 2}}. Your options will appear once you have typed one of these characters.
To the right will be a preview using an actual contact or lead to show how the information will appear in an inbox if it was sent to that contact or lead. It will give up to 10 contacts to filter through by clicking the arrows to the right of the prospect’s name. Those 10 come from the 10 most recently updated contacts or leads that you own. If you do not own any Contacts, it will be the 10 most recently updated Contacts in the system, regardless of owner.
Press the Send Test Email to send a copy of this email to yourself.
Manual Email
This type of email will generate an open Activity for you to send the email when you are ready. This is meant for the times when you want to put specific information in the email that you cannot automate. For example, after you have researched the company, you may want to add personalize how you think your product or service will help them specifically. To add this start typing {{ and a list will populate, choose the first option, "Comment/Prompt”.
Like with the Auto Email step, you can click Send Test Email to send a copy of this email to yourself.
When this type of step is initiated, an activity record will be created and assigned to you (the owner of the contact or lead record). You will see this in your Due Activities under the Activities area. You will need to open the activity and fill in the comments with the information and press Send.
New Thread Vs Reply Email
On both Email type steps there is a switch at the top left if the email is not the first one in the sequence.
This switch is set to New Thread and can be flipped to Reply if you desire. On New Thread it means when the email arrives it will be a brand-new email. On Reply it will be a thread with the previous email you sent from the sequence. It will automatically switch the subject to “RE:”, don’t type anything there and the subject will be the same as the previous email.
Phone Call
This will create a phone call type activity as a task for you to call the person. When defining this step, you can set the Call Purpose to one of the default options Phone Call, Introduction cold call, or Follow up call.
Once this step is initiated in a sequence instance, a Phone Call type activity record will be created and assigned to you with a due date set by the amount of time you set for this step. You can input information from the actual call, set an outcome, and more.
Generic Task
Creates a task activity for you to do something other than the other specific tasks. There are two types to choose from: Create Proposal and Generic Task.
An activity for a LinkedIn type task will be created, telling the owner of the Contact or Lead that they should look up this person on LinkedIn and take some action. There are options for the type: View Profile, Interact with post, Send Message, Send Connection Request, and Other.
If the task is to send a message or a connection request, you can type that message in the editor area. Like with emails, you can use the @ and { symbols to add dynamic content. And you will see a preview on the right.
Once the activity is created from this step, you will be able to automatically search for the prospect on LinkedIn and paste your message into the connection request or message.
