As part of your data retention plan, you may decide to automatically delete certain types of Click records that reach a certain age. This is a common practice to control the volume of data stored in your Dynamics database, to help maintain your environment's performance and response speeds.
This article shows how you can schedule a recurring Bulk Delete Operation to delete Sent Email records over 6 months old, once per week. You can apply the principles shown here to your own bulk jobs, to target any Click entity or non-Click entity that you require, on a schedule that is best for your business.
Create New Bulk Record Delete Operation
Navigate to Settings > Advanced Settings > Data management and click "Bulk record deletion":
This will open the All Bulk Deletion System Jobs view. Click "New Job" to open a new Bulk Deletion Operation:
Configure New Bulk Delete Operation
In the New Bulk Delete Operation screen, select the Click entity that you want to delete. Since we want to delete Sent Emails in this example, we've selected the "Sent Email" entity, the corresponding "Active Sent Emails" view, and a single filter criteria to ensure we are targeting only Sent Emails older than 6 months - you can of course use the entity, view, and filter criteria that suit your purpose.
Further down in the same window, specify the Job name, select when it will first run, and choose the recurrence schedule (max frequency is once per 7 days). For this example we have set it to run at midnight once per week.
Finally, save your Bulk Delete Operation by clicking the "Save" button at the top of the record. Going forward, your Bulk Delete Operation will run on the schedule you have specified.
If you would like to edit or delete your Bulk Delete Operation, navigate to Advanced Settings > Data Management > Bulk Record Deletion and select the "Recurring Bulk Deletion System Jobs" view.
And that's it! Now you have the skills needed to set up recurring Bulk Delete Operations in accordance with your business' data retention policy.
