To ensure compliance and maintain brand consistency, advocacy admins can now enable Approval Workflows for advocate-edited posts. This feature allows you to review and approve any customized messages before they are published on social media, giving you greater control over the content shared on behalf of your organization.
When an advocate customizes a post, either manually or using the AI Assist feature, you can require approval before it is published to social media.
Activating Approvals In Your Advocacy Board
To activate workflows for your board, click the Advocacy icon in the left sidebar, select your board, and then navigate to Settings > Approvals.
From there, toggle Approvals on, select the workflow you want to use, and click Save.
Once activated, any edited posts will be routed to your Approvals queue for review.
Please note:
- Only one approval workflow can be activated per board.
- Once enabled, all edited and customized advocacy content will go through the approvals flow.
- Posts that weren't edited can be submitted for publishing without going through the approvals flow.
- Posts scheduled before enabling approvals will not go through your workflow.
- If you disable the approval workflow in the future, any posts in the approval flow will still need to be approved.
Managing Advocacy Approvals
Once an advocate has edited a story message or created a custom post, the story message or custom post can only be sent to the approval flow.
Each item in the tab has an Approval Status that defines the actions you can take. Here are the relevant statutes and what they mean:
- In Approval: By default, all items sent to approval are In Approval.
Once an item is in this status, only the approvers inside the current workflow step will be able to approve, or request a revision for it. Other admins will be able to view the item but will not be able to take action. - Revision Requested: At any time during the approval process, an approver can request a revision. When a revision is requested, the item bounces back to the advocate.
The user who requests the revision is required to leave a note, stating the changes that they want. The advocate who receives the rejection will see the note and be required to take action before sending the item back to approval. - Expired: Any advocacy post sent for approval will be given In Approval status.
72 hours after the publish time, the post status will change to Expired and the post will be removed from the approvals module.
An expired post must be resent for approval by the advocate to be published.
