The Segmentation Builder feature allows customers to create dynamic segments of either Account, Contact or Lead records based on a set of specified criteria. Once the criteria are set and the Segment is published, the Segment can then be used along with the Added to Segment trigger in Campaign Automations. The current requirements and limitations for this feature are listed below:
Requirements:
- You must be using Microsoft Dynamics CRM – online version.
- You must have a ClickDimensions Business license.
- You must be on ClickDimensions version 2023.10 or higher
Limitations:
- Each Segment can only target one record type (Account/Lead/Contact).
- The number of members is limited to 100,000 records.
- Members tab will update every 3 hours.
- For Segments with 90,000+ members, the Members tab will update every 24 hours.
- Segments will include both Active and Inactive members. Inactive records can be included or excluded by using a rule that checks the Status of the record.
- Inactive members will NOT be added to Campaign Automations when using the Added to Segment trigger.
- This feature supports rules that check related entities, including custom entities.
Creating a Segment
After this feature has been enabled, you can create a new Segment by navigating to Audience > Segmentation and then clicking the New button:
This will open a new Segmentation record:
Name: This will be the name that is used for this Segmentation list.
Target At: This fields allows you to select whether the Segment will be used to Account, Contact or Lead records. Only one record type can be selected. If your segment is targeted at account, the email associated to the account record will be used in any future Campaign Automation.
Members: This field will populate with the number of members after the Segment is saved and published.
After filling in the required fields and saving, the Creation Date will be filled in automatically and the Design and Members tabs will appear.
Adding Rules to a Segment
Next, you will need to add criteria to your Segment that will be used to populate its members. To do this, select the Design tab:
In Step 2, you can set the criteria for the Segment. The first drop-down is for grouping and will allow you to select either the AND option, which will check that members that match all criteria in the group, or the OR option, which checks that members match at least one of the criteria.
The other drop-down gives you the options to Add Row, Add Group, or Add Related Entity:
Adding a row will let you select a field whose value you would like to check:
Adding a group will add another section where you can again choose to use AND/OR to compare criteria for more complex queries:
Adding a related entity adds a section where you can check criteria from related entities:
To delete an element, you can click the ellipsis icon next to that element and click Delete:
After adding all of your desired criteria, then you can proceed to Step 3. In Step 3, you can select which fields you want to have displayed:
After selecting the fields to display, you can use the View Records button to see a preview of the results from your criteria:
NOTE: Due to limitations, the View Segment records preview section in Step 3 will only display up to 5,000 records.
Once you are happy with the results, then you can click the Save or Save & Close on the top ribbon and your criteria will be saved.
Publishing a Segment
After setting your criteria for your members, you can then click the Publish option to activate the Segment:
After publishing the Segment, the status reason will update to 'Live'. You will not be able to change any of the options within the Design tab unless you first select the STOP option to set the Segment back to the 'Draft' status:
After the Segment is published, the Members tab and Members field will begin to populate. The Members tab will update periodically according to the time frames listed in the limitations at the top of this article. You can check when the Members list was last updated by checking the bottom of the Members tab window:

NOTE: You may encounter cases where opening an old live segmentations would show an Unsaved status. In such cases, simply Save and re-open the Segmentation.
